Writing a Good Press Release

In order to write a good press release, the first step is to understand five key components of a good press release. Good press releases:

  1. Are not sales pitches - Being too salesy in your wording is one of the easiest ways to get your press release into the garbage can. Don’t sell, tell instead.
  2. Create buzz - If you can read your own press release and imagine yourself telling someone at the water cooler about it because you can’t get the topic out of your mind, you have a winning press release.
  3. Get the reporter to want more - Usually a reporter will gain interest in your press release and call you for more details.  It’s up to you to tantalize the media with your words.
  4. Are easy to read - That means no technical jargon, small words, short sentences, good grammar, and clean spelling.
  5. Use reinforcement - Product reviews, testimonials, quotes from industry experts or authorities, facts and figures, recent findings, are all examples of how researched content can reinforce your message.
  6. Are short - Only 300-500 words. You need to be able to fit the content on one page, two at most, and double space your text. You don’t get too much room to wander in your writing with that limitation.
  7. Answer the who, what, when, why, where, and how details.
  8. Provide detailed contact information - Always provide your full name, work phone, mobile phone and email so you can be contacted for questions.
  9. Are formatted properly - There is no shortage of proper press release format on the web. Look for sample press releases of our own to be published on this site shortly.
  10. Are focused - Don’t try to say everything about everything in a single one-page press release. Stay focused on one specific topic. Save the others subjects for future press releases.

What makes the press release writing process much easier is when you have an actual template to go by. We furnish our press release clients with an MS Word document template to complete. Then we can help edit the same document when you have your rough draft completed. Of course, if you have us send to just 100 or more media contacts, we will offer to write your entire press release for you! It’s up to you.
